Processing of Financial and Transaction Documents

About the customer

Magnitogorsk Iron & Steel Works ranks among the world's top 20 steel manufacturers. It accounts for about 20% of Russia’s domestic market of steel products. It is a large metallurgic facility with a complete industrial cycle ranging from processing of raw iron ore to deep processing of ferrous metals.

About the project

Every day the facility receives thousands of documents of various types requiring prompt registration in the enterprise information system. In order to streamline and enhance the efficiency of accounting of incoming documents it was decided to set up a system that would automate the processing of incoming documents.

Within the framework of its cooperation with Magnitogorsk Iron & Steel Works Cognitive Technologies implemented a number of projects aimed at automating the capture and processing of paper documents, which included the following:

  • Introduction of a system for automatic processing and storing in the Electronic Archive of incoming paper documents (e.g., commercial invoices, consignment notes, accounting statements, contracts, shipping documents for the legal department);
  • Introduction of a system for automatic processing of outgoing shipping documents, which processed and stored in the Electronic Archive commercial invoices, railway receipts, quality certificates, and other documents attached by contractors to products of Magnitogorsk Iron & Steel Works;
  • Introduction of a system for capturing and processing incoming correspondence, which ensured that once scanned correspondence appeared in the electronic document management system automatically and was delivered to departments of Magnitogorsk Iron & Steel Works.

The results achieved

The solution thus obtained allowed the employees of Magnitogorsk Iron & Steel Works to automate up to 60-70% of their standard operations that involved the handling of documents.

The system provided the following capabilities:

  • export of data contained in financial documents into the enterprise information system;
  • checking a contractor’s details, matching stock lists;
  • search for a document in the accounting system;
  • checking the accuracy of accrued VAT and other amounts in primary documents;
  • assigning operations to departments.

The software solution designed by Cognitive Technologies helps to enter altogether over 20 different forms of documents into the enterprise information system. The capacity of the solutions delivered is measured in the tens of thousands of documents a month.
